Setting up your custom sender address with Vygo

To enhance your university's presence and make communications more seamless, we offer the ability to use a custom sender address for all transactional emails sent from our platform to your users. This means emails can appear from your own domain, such as [email protected], providing a consistent and professional appearance.

Plan restriction

You must be on an enterprise plan with Vygo to have access to the custom sender functionality. If you'd like to upgrade to access the feature please reach out to your Account Manager.

Here's how you can set this up:

Step 1: Submit Your Domain and Email Address

Please contact us at [email protected] with the domain and specific email address you wish to use as your sender address. We recommend using a subdomain (e.g. [email protected]) as you will need to set DNS records to allow us to send emails from this domain.

Step 2: Domain Verification with SendGrid

Once we receive your details, we will add your domain to SendGrid. Shortly after, SendGrid will send you an email with instructions on how to set up your domain on their end. This involves adding specific DNS records to your domain to verify ownership and ensure emails sent from your domain are delivered reliably.

Step 3: Update DNS Records

Follow the instructions provided in SendGrid's email to add the required DNS records to your domain. These records are essential for email authentication and help prevent your emails from being marked as spam.

Once you have added the DNS records:

Please wait for these records to propagate. This can take up to 48 hours but is usually much quicker.
After adding the DNS records, you'll need to confirm completion on your end by clicking "I'm Done".

Step 4: Notify Us

After SendGrid has verified your DNS records, please inform us. We will then finalise the setup by adding your custom sender address to our platform configuration. From this point forward, all transactional emails sent to users within your tenancy will come from your chosen domain.

DNS Propagation: After updating DNS records, it can take some time for changes to propagate across the internet. During this period, email functionality may be intermittent.
